For a ring resize, note the current and requested size in the item details and requested work. For a broken chain, describe the break and the clasp condition. For restoration, record existing wear and any instructions about finishes or features the customer wants retained.

If a customer leaves a ring and a bracelet together, give each piece its own description within the same repair job. Both remain under one customer and job reference.

Make condition photos useful when you need them

An overall view helps identify the piece. A close-up can show a worn claw, chipped stone or previous solder join. Add a caption to explain what the photograph is meant to record.

Know what was agreed before the work begins

Keep the requested repair, special instructions and quote with the item record. Use customer-facing notes for approval conditions, such as contacting the customer before carrying out additional work. Internal notes remain separate from the customer receipt.

Record a deposit after taking payment through your normal payment method. Add subsequent payments or refunds as needed, and JewelIntake recalculates the recorded balance. It does not process money or transfer transactions to your POS or accounting system.
